Executive Virtual Assistant Subcontractor


Important to Note: This is a temporary 4-5 month maternity leave coverage, for an experienced executive virtual assistant. There may be opportunities for collaboration that could extend this engagement.

Client Load: 2-3

Hours per week: 20-25

Payment: Hourly Welcome, Retainer Preferred

Job Description:

I am seeking an experienced, technologically savvy virtual assistant with bookkeeping experience and a wonderful personality to join my team of virtual executive assistants. Our team is growing - by way of a baby (YAY!) - and so we need to support assistance while our supermom focuses on those first few crucial months!

This person will be my right-hand person in managing this business of providing exceptional support to solo entrepreneurs, coaches, and marketing firms.

Apply for this position if you consider yourself a Superstar Admin that enjoys being a supporter, is social media savvy and feels accomplished providing solutions. This is for you if you are comfortable working in multiple software systems, using multiple screens, are able to maintain a high level of accuracy and consistently perform at a high level.

There will be ample opportunities to learn new things in this position. No day is ever the same, so we are looking for you to deliver amazing support on a consistent basis.

Systems make our world go round, so if you are up to date with the latest systems and tools – please share that in your application!

Core Skills required to be successful in this position:


  • Excellent communication skills (both verbal and written). Strong grammar and spelling skills a must.
  • Organizational ability to maintain systems that streamline business operations and quality client communication.
  • Strong computer skills with extensive knowledge of all Office products (Word, Excel, PowerPoint, etc.)
  • Must be familiar with the latest productivity tools including Dropbox, Google Products and a quick study in learning new software.
  • Social Media Savvy; not just on an end-user status; experience managing multiple social media accounts for businesses. Pinterest, Facebook, Instagram for Business.
  • Experience with QuickBooks online a MUST!
  • Experience with CRMs such as Ontraport, Salesforce, Infusionsoft.
  • Experience using project management systems such as Asana or Trello.
  • Experience with communication systems such as Slack.
  • Ability to schedule efficient and detailed arrangements, including hotel, flights, and ground transportation.
  • Top-notch calendar management skills, including the coordination of conference calls and meetings.
  • Strong research and analysis skills, with the ability to handle multiple projects on tight deadlines.
  • Event Logistics Management experience a HUGE Plus.
